The Law Society of BC is seeking a permanent, full-time Executive Assistant in our Lawyers Indemnity Fund department. The Executive Assistant provides superior interpersonal, organizational and time management support to the Chief Operating Officer (LIF) and the Director, Risk Management. The Executive Assistant must be exceedingly diplomatic and an accomplished problem–solver who can handle highly confidential and time-sensitive material while juggling multiple and changing priorities. The Executive Assistant also handles smaller malpractice claims against lawyers, and manages quality control in claims handling and underwriting.

The Executive Assistant must exercise proven strengths in interpersonal management, taking initiative, discretion, professionalism and judgment in carrying out the position’s functions and adding value to the organization.

The duties of this position include:             

  • Ensure smooth and efficient departmental operations by overseeing those relating to support staff and managing implementation of new operational projects and processes

  • Provide interpersonal, organizational, time management and travel support to the Chief Operating Officer (LIF) and the Director, Risk Management, including communications with Benchers and other stake-holders

  • Prepare detailed and lengthy application to secure the Law Society’s D & O insurance ($6 million), exercising judgment as to who to contact to identify all of the Law Society’s possible risks and ensuring the policy wording reflects the terms negotiated

  • Manage the processes for optional insurance policy applications and renewals, identify any new risks presented, manage the indemnity surcharges, and deal directly with lawyers on any issues or disputes arising

  • Determine financial and operational information and data needed for annual LIF budget, and upload to Finance dept’s software program

  • Manage quality control in the claims handling process, including working with IT to develop database reports and maintaining spreadsheets to track key claims management functions. Sort and compile data and create graphs and charts for PowerPoint presentations and risk management activities

  • Develop and maintain excellent relationships with senior executives at other insurance programs, and communicate with excess and other insurers, outside representatives as well as internal Law Society departments after determining how best to respond or gather information

  • Handle smaller malpractice claims against lawyers, and deal directly with covered lawyers for updates and status reports

  • Organize departmental events and functions such as audits, seminars with external counsel, and retreats, and attend to travel logistics for management

  • Deal independently with outside requests for information from lawyers and the public about the indemnity program and potential theft claims, and with routine inquiries from lawyers on coverage matters and telephone reports of claims

  • Coordinate the processes for interviewing applicants for staff positions, including administering tests to Claims Counsel candidates, training new staff and ensuring logistical requirements are met

  • Organize agenda and take minutes of departmental and Indemnity Subcommittee meetings

  • Such other duties as the COO or Directors may require.

Qualifications

  • A post-secondary diploma or degree in a relevant discipline.

  • Training and experience in Word, Excel and PowerPoint, and familiarity with database structure. Facility with Financial Statements.

  • A minimum of seven years of experience in a senior assistant role reporting to an Executive combined with experience in the insurance industry.

  • A self-starter with the ability to work independently, take initiative and exercise sound judgment.

  • Excellent organizational, time-management and oral and written communication skills, and attention to detail.

  • Exceptional interpersonal skills to work effectively with all levels of staff, management and professionals, both within and outside the organization.

The salary range for this position is $75,000 to $80,000.
